Faculty Activity Repository System

Message from Dean Angle

The University has developed a new, online Faculty Activity Repository system. The provost has requested that all colleges have their faculty use this new system. The department heads and I support this initiative of the University administration. This system will provide common faculty information across all schools and colleges; enable institutional, college, departmental, and individual reporting with built-in query tools; help UGA check and correct faculty information in UGA's central data systems; and provide faculty with an easy-to-use system for recording and tracking teaching, research, and service activities.

Please note that due to the implementation of the UGA FAR system you will no longer be asked to use GaCounts for program reports (State Plans of Work will still be entered in GaCounts). County agents will continue to enter data in GaCounts and will not use UGA FAR at this time. This decision is based on the fact that UGA FAR cannot capture all the data elements of GaCounts. As UGA FAR develops, county faculty will be integrated into this data collection system.

Latest Updates

  • Faculty are loaded in the FAR system by "rank" department. This includes formally appointed adjuncts, recent retirees, and all emeritus faculty. In addition, faculty who have joint appointments appear in the ranks of both departments even when all eft is assigned to only one.

  • NEW FIELDS AVAILABLE
    • Workload (eft) Information is now is now available under the General Information area. This area seems to be functioning and accurate with one significant exception: administrative workload allocated from Instruction accounts--which is most department-level administrative workload--is not currently broken out from instruction workload. We are working on a solution to this.
    • An area for text entry of a Narrative of Interests and Expertise is also available under General Information. This area has been pre-filled on a one-time basis from the OVPR's FRED database where available. Faculty should check, edit, and maintain an accurate description of their work in the FAR, which will be used to populate FRED in the future. This information will also be available for use on School/College/Department websites.

  • COMING SOON
    • An area to enter highlights from Course Evaluations for Instruction should be ready by the middle of December 2008.
    • Contract and Grants Information loaded from databases of the Office of Sponsored Programs should be available momentarily.
    • An area for faculty-entered Center & Institute affiliations should also be available very soon.
    • A working group is developing UGA-specific Reports. This group will focus first on a faculty activity report and variations that we hope will support annual evaluations and annual reports. We also expect to develop reports that sort according to faculty "types," to help address concerns about having listed faculty who have not used the FAR system.
    • Project Coordination entry. The ability to capture larger programming efforts that you coordinate.

Upcoming Deadlines

  • All 2008 data must be entered into UGA FAR by April 1, 2009.
  • For data from January 1, 2009 forward - the best practice is to enter activities as they occur. Future deadlines will be announced for 2009 data verification.

Public Service

Those of you in Public Service will find that some elements of your job do not fit into the current UGA FAR system. The Public Service fields are being developed in collaboration with CAES Extension and the OVPPSO. You will receive updates as this section of UGA FAR is completed.

2009 Evaluations

CAES Department Heads will use the information from UGA Faculty Activity Reporting for 2009 evaluations. Associate Deans will review this data online. Enter all data into UGA FAR that you would include in your CAES faculty activity report.

Impact on GaCounts Usage

Faculty, except County based faculty, currently using UGA FAR will not be required to use GaCounts to enter regular programming activities. Another exception is faculty with a State Plan of Work in GaCounts. State Plans of Work will be reported against at the end of the year to provide the details for the Federal CSREES/AREERA Report. County faculty will continue to use GaCounts and will not use UGA FAR until further development of the system has been completed.

The UGA FAR work group will be asking for feedback in mid 2009. Please keep this in mind as you use the system and observe opportunities for improvement.
