The
Visitor House is available for use by visiting scientists, graduate students,
and post-doctoral employees who are either cooperating with or employed by the
Griffin Campus. The house contains five double occupancy rooms.
Rate Structure
Rates are set on a monthly basis and proration of periods less than a month are based on a standard 30-day month without regard to the actual number of days in a month.
The rental charge for all rooms will be 60% of the lowest double occupancy UGA Athens dorm rate and will be adjusted annually. The current Griffin rate is $237.93 (including taxes) per month.
Rent must be paid monthly in advance to the Griffin Campus Business Office. There will be no refund for early departure. Failure to pay rent by the fifth day of the month will result in expulsion from the Visitor House.
Keys, linens (mattress cover, sheets, pillowcase, thermal blanket, & comforter) and towels (wash, hand, & bath) are issued after a $50 deposit. This deposit will be returned on departure with the return of the keys, linens, towels.
Residency Guidelines
All tenants are accorded an equal priority for use o the Visitor House. Tenants are not required to move to accommodate the arrival of another tenant. However, persons reserving a room for a visiting scientist, graduate student, or post-doctoral employee or for themselves, must reserve the room for specific dates. Early arrival and extended stays are permitted only if it does not interfere with another reservation. Late arrivals will be accommodated only to the extent that they do not interfere with another reservation. Reservations may be made in advance of the scheduled arrival date, extended only if space is available, and must be made by completing an application.
The length of stay for graduate students should not exceed two consecutive semesters. The summer session is considered one semester. Length of stay for visiting scientists and postdocs is limited to six months. Additional stay will be based on availability on a month-by-month basis. Requests for additional stay will be not considered until 30 days or less remain in the original agreement. For example, if the original agreement was from January 1 to June 30, a request for additional stay will not be considered until June 1.
Reservations for late arrivals can be held only if the monthly rental rate is paid. Monies paid for late arrivals will be considered part of the length of stay.
No overnight guests are allowed in the Visitors House under any circumstances.
Resident Responsibilities
Tenants are responsible for the cleanliness of their own room.
Tenants are also financially responsible for any issued bedding as well as the
contents of their room. Missing items must be replaced or the final paycheck
for persons employed by the Griffin Campus will be held pending
satisfactory resolution.
Tenants are expected to comply with reasonable standards of cleanliness for their own room and the common areas. Failure to comply with published procedures and cleanliness standards will result in an immediate warning and, for graduate students and post-doctoral employees, a copy of that warning will be forwarded to the sponsoring faculty member. A second instance of the tenant's failure to comply with published procedures and cleanliness standards will result in the immediate notification to the tenant that a third instance of non-compliance will result in expulsion of the tenant from the Visitor House. Copies of that warning will also be sent to the sponsoring faculty member and to the Research, Extension and Instruction Coordinator. A third instance of the tenant's failure to comply with published procedures and cleanliness standards will result in immediate expulsion, that day, from the Visitor House.
General housekeeping for common areas is done by Physical Plant personnel. Individual resident rooms are not cleaned on a routine basis, and it is the responsibility of the residents to see that their room is kept clean. Physical Plant staff will inspect each room weekly.
A resident monitor will insure that residents honor the housing guidelines and that residents maintain a reasonable standard of cleanliness in the common areas during weekends and holidays.
Visitor Housing Committee
The Visitor Housing Committee is appointed by the Assistant Dean of the Griffin Campus. The committee oversees the management and maintenance of the Visitor House to ensure its efficient and safe operation. The committee includes three faculty members, the Superintendent of Physical Plant and the Business Office Manager.
The Physical Plant Superintendent is responsible for the routine maintenance and required cleaning of the Visitor House. Specific responsibilities include, but are not limited to, the following:
- Perform the necessary maintenance to ensure that the Visitor House is habitable and safe.
- Clean any unoccupied rooms, as required.
- Inspect rooms and common areas to ensure residents are complying with published procedures and cleanliness requirements. Routine problems will be reported to the Business Office Manager for resolution. Suggested policy changes should be reported to the committee chair.
- Develop operating procedures in conjunction with the Business Office Manager and housing committee.
- Recommend the purchase of major items of equipment or furniture to the Visitor Housing Committee.
- Procure housekeeping items for the efficient operation of the Visitor House.
The Business Office Manager is responsible for the day-to-day management of the facility. Specific responsibilities include, but are not limited to, the following:
- Schedule residents.
- Develop operating procedures in conjunction with the Superintendent of Physical Plant and the housing committee.
- Monitor compliance with operating procedures and take necessary actions when residents fail to comply with those procedures.
- Collect rents and recommend rates/changes to the Visitor Housing Committee.
The role of the Resident Monitor is to work as a liason between the residents and the housing committee. This entails listening to the resident needs and complaints and communicating them to the housing committee. The Resident Monitor relays the house rules to the new residents.
